So start with one total. Count every email, call and message, from every agent, tool and person, against the person who receives it. We call each of these a touch.
This page is about one person's inbox. For many agents working one company, read How many AI agents can safely contact the same account?
Where should I count it?
| count it against | why |
|---|---|
| the person | that's who gets annoyed |
| the deal | messages about one deal really do compete with each other, so this is where a limit belongs |
| the company | worth seeing, so you know if they think you look disorganised |
Set the limit on the deal, and show the total for the whole company. If you put the limit on the whole company, busy work in one region can block a deal in another region. The person running that region will be right to complain.
Leave support out. Nobody should be held back from answering someone's problem.
Who sets the numbers?
You do. A first email to someone who has never heard of you is different from a follow-up on a live deal. Good limits change with:
- the kind of work
- how far along the deal is
- the channel (a call takes more of someone's attention than an email)
- how senior the person is
- the type of customer
The numbers are yours, because they depend on how you sell.
Which limits can't I set?
Some limits are set by other people, and you have to live with them.
- Spam complaints. Google asks people who send a lot of email to keep spam complaints under 0.10%. At 0.30% it treats it as a hard failure.
- New domains. A brand-new email domain can't send as much as one that has been around for years.
- Your sender list. Your domain has a record that lists which tools may send email as you. That record only allows ten lookups. Go past ten and the whole record fails, for every tool that sends as you.
You decide what happens as you get close to a limit. The agent can warn you, slow down, or stop.
How Reynforce helps
Reynforce counts every touch your agents check with it, for the person, the deal and the company. You set contact limits in Rules, and every check shows up in Activity. For some sending tools, it can also look back over the last 30 days. That way you start with what has already gone out, so the page isn't blank on day one.
It tells you what it can't see. If a system that emails your buyers isn't connected, the total says something is missing. It won't pretend to be complete.
When Reynforce is the wrong choice
- One person sends all your email from one tool. That tool's own limits are enough.
- You only need a do-not-contact list. Keep that in your sending tools, where it actually stops the email. Reynforce doesn't manage unsubscribe or do-not-contact lists.
What it costs
£99 per agent a month for your first 10 agents. After that it's £79 for each agent, up to 49. If you pay for a year at once, you get two months free. If you'd like us to do the setup and sign-off with you, that starts at £2,500, paid once, and the price depends on the agent's job. Pricing has the rest.
